As a Team Assistant - VISA administrative in the Field Service department, You will be responsible for providing administrative support visa application support to ensure the smooth and efficient functioning of Field Service departments. Your excellent organizational and communication skills will be essential in handling various administrative tasks and facilitating effective coordination among team members.

How You’ll Make an Impact

Visa Application Processing: Lead the entire visa application process, from initial consultation to visa issuance. This includes document collection & review and ensuring compliance with the specific visa requirements of different countries.

  • Coordinate with Field Service team’s VISA application submission to the relevant embassies or consulates.
  • Supervising the status of VISA applications and providing updates to Employees.
  • Relationship Management: Build and maintain strong relationships with embassies, consulates
  • Provide Administrative Support: Assist with general administrative tasks, including document preparation, data entry, filing, and maintaining office supplies. Support administrative activities for teams associated with Corporate Communications.
  • Support onboarding and offboarding of employees
  • Support order/invoice, Good Receive (GR), and tracking for Direct & In-direct as required
  • Communication Management: Act as a point of contact for internal and external partners. Answer phone calls, respond to emails, and handle inquiries promptly and professionally.
  • Data Management: Maintain accurate and up-to-date records and databases. Ensure the confidentiality and security of critical information.
  • Travel Arrangements: Assist with travel arrangements, including visa application, booking flights, hotels, and transportation for team members.
  • Meeting & Event Coordination: Arrange and coordinate internal meetings, events, conferences, and external customer training, including sending invitations, reserving meeting rooms, and ensuring vital equipment, materials, and refreshments are available.
  • Expense Tracking: Assist with expense tracking and reimbursement processes, ensuring accuracy and adherence to company policies.
  • Plan and set up external and internal events and internal day fixes in collaboration with the respective lead are part of this team assistant job.
  • Lead any ad hoc tasks as assigned by the team.


What You Bring

  • University graduate or equivalent experience; additional certification or training in office administration is a plus.
  • Validated experience as an administrative assistant or in a similar role.
  • Knowledge of visa regulations: possess a strong understanding of visa requirements and procedures in various countries, mainly focusing on AP countries.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Communication Skills: Excellent written and verbal communication skills to collaborate with clients, employees, and embassy or consulate officials (Fluent in English)
  • Organizational Skills: Ability to lead multiple visa applications simultaneously and prioritize tasks effectively.
  • Attention to detail and problem-solving abilities.
  • Ability to maintain confidentiality and handle critical information with discretion.
  • Strong social skills and the ability to work well in a team environment
