Job Summary:

We are seeking a professional and friendly Receptionist with at least 2 years of experience to join our team. The ideal candidate will be the first point of contact for visitors and clients, offering exceptional customer service and ensuring smooth day-to-day office operations. This role requires excellent communication skills, organizational abilities, and the capacity to manage multiple tasks simultaneously.

Key Responsibilities:

  • Greet visitors: Welcome and direct clients, visitors, and vendors in a polite, friendly, and professional manner.
  • Manage phone calls: Answer, screen, and forward incoming phone calls to the appropriate personnel, taking messages when necessary.
  • Handle inquiries: Provide basic and accurate information to visitors and callers regarding company services, locations, or procedures.
  • Appointment scheduling: Manage meeting room bookings and maintain appointment schedules for staff, ensuring all meetings are well-coordinated.
  • Assist with events: Support staff in organizing office events, meetings, and conferences when required.
  • Ensure security: Monitor visitor access, issue visitor badges, and maintain security protocols as necessary.

Required Skills and Qualifications:

  • Experience: Minimum 2 years of experience in a similar receptionist or front-desk role.
  • Communication skills: Good verbal and written communication skills in English.
  • Customer service: Strong interpersonal skills with a friendly and approachable demeanor.
  • Organizational skills: Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Technical proficiency: Comfortable using office equipment (multi-line phone system, copier, fax machine) and software (Microsoft Office Suite, scheduling software, etc.).
  • Problem-solving: Ability to handle difficult situations with professionalism and a positive attitude.
  • Attention to detail: Strong attention to detail and accuracy in completing tasks.
  • Team player: Capable of working independently or as part of a team.
